To encourage users to participate in your Kahootz online workspace, you must ensure it’s as easy to use and navigate as possible. This article will briefly outline the most important steps to customise your Kahootz online workspace for your business needs.
Fortunately, there are many ways to organise your workspace to better guide your users. This article includes links to the Kahootz help center to access our knowledge base and tutorials for setting up your online workspace.
How can you customise your Kahootz workspace
When you first created your workspace, you probably initially focus on adding content and inviting users.
That’s a good place to start. However, without clear navigational elements and a logical structure, your users will struggle to find the content they need to do their job. Here are just some of how you can customise your workspace to improve your users’ experience:
- Getting started – Creating your workspace
- Adding content to your workspace
- How-To Invite Users (Site Owner, Manager & Member)
Workspace dashboard
When users log in, one of the first things they see is your workspace’s dashboard. This gives you the perfect opportunity to provide context and guide users around your workspace.
A great way to do this is by using dashboard items. For example, NHS England uses the ‘Text and Images’ item to add images linking to their workspace’s most crucial information.
Folders
Folders in Kahootz are easy to set up and provide a clear structure for you and your users. Some of the ways in which you can do this include:
- Reordering—List folders in an order that makes logical sense to your users.
- Hide content—If appropriate, Keep content hidden within certain folders (e.g., if it’s for managers only) to avoid confusing your users.
- Set permissions—Allow only specific users to create items in your folders so you can better control the structure of the content.
- Decide item types—If you only want documents to be kept in a specific folder, for example, you can restrict the creation of any other item type within it, such as calendars and surveys, to keep the folder uncluttered.
Pages
When a user views an item or is new to your workspace, it is important that they understand what it is for and how they can use it.
If they don’t, you may have to deal with many questions via email or private message. Answering these is not only tedious but also causes unnecessary delays and slows down productivity.
To help you overcome this, Kahootz allows you to customise the top of each item’s page. Here are just a few examples of how you can do this:
If you have a calendar for meeting room bookings, consider enhancing its usefulness by including additional details, such as who manages each room and its maximum capacity. Linking different types of content can also boost engagement—for instance, if you’re creating blog posts, you might set up a survey to gather reader feedback, then link directly to it to maximize visibility and participation.
Additionally, providing clear procedural explanations can significantly improve user experience; for example, you could detail how users can add entries to a database, simplifying what might otherwise seem complex. When written instructions become too intricate or cumbersome, leverage our powerful, rich text editor to integrate visuals like pictures and tables, ensuring your guidance remains clear, engaging, and easy to follow
- Using calendars for room/resource booking
- Links to other items within a Workspace
- Creating a Survey (Add Questions, Preview, Open, Re-open & Duplicate)
Workspace items
It’s not just the pages and folders where you can provide extra context to your users. You can also do this when you add content to your workspace.
By naming items, you can give them a clear purpose within your project. For example, you could name a blog ‘Project Management Best Practices’ rather than the more generic ‘Company Blog.’
