Getting in Kahootz with suppliers to deliver post-procurement innovation

Crossrail and its Tier 1 contractors – including Costain, Skanska, Balfour Beatty and Kier – wanted a secure, cloud platform that would allow them to make savings by sharing innovative ideas at the delivery stage of the procurement process.

They chose Kahootz, using it to create a jointly funded portal called Innovate18 that is seen by leading academics to be the first of its kind. All partners have a say in its development, management and membership.

The portal is valuable because it allows project members to access:

Know-how. They can access innovation experts to help develop and share ideas, and identify people across all organisations with the skills and experience they need.
Funding. Ideas that are accepted for development can be matched to available development capital and resources.
Sharing. Learning from innovations across the Crossrail programme.

Innovate18 currently has over 800 users, including many senior managers whose participation increases confidence in the system as a shared resource. The interface is styled using the Crossrail brand to provide a strong sense of identity and trust.

So far, this growing network of innovators have shared and re-used over 30 ideas, allowing them to quickly amplify the benefits of their collaborative innovation. In the near future, Crossrail intends to publish details of how this has helped it achieve major cost savings.

Users like the fact the system is extremely stable and that they can customise workspaces to share information and collaborate in a highly focused way. The distribution of weekly “What’s New” emails keeps everyone informed and also stimulates further participation and information sharing. Future plans include using online workspaces to embed and share video that has been filmed on site by contractors.

Additionally, it’s not just Crossrail’s innovators who are using Kahootz to collaborate. Its Communications and Legal teams use the software to share information from any location, or while on the move – using any smartphone, tablet or internet-enabled device.
